Privacy notice

Last updated: November 2026

This notice explains how IFA Talent (“we”, “us”, “our”) collects and uses personal information when you visit this website, get in touch with us, or use our recruitment services. We are the controller of the personal information described in this notice. If you have any questions, please email [email protected].

Information we collect

Depending on how you get in touch, we may collect:

  • Contact details, such as your name, email address, phone number and location.
  • Career information, such as your current role, experience, qualifications, the roles you are interested in, your working preferences and timescales.
  • CVs that you upload, and anything they contain.
  • Voice notes that you record in your browser or upload, and the transcripts we make from them.
  • Organisation details if you contact us as an employer or firm owner, such as your firm name, your role and the roles you are hiring for, or what you are considering for your firm.
  • Messages and notes from our emails, calls and meetings with you.
  • Technical information needed to deliver the website securely, such as your IP address, browser type and the pages requested, which our hosting provider may log.

Please do not include sensitive information (for example about your health, ethnicity, religion or criminal record) in a voice note, CV or message unless it is genuinely relevant and you are comfortable sharing it.

Voice notes

Our contact form lets you record a short voice note (up to three minutes) in your browser, or upload an existing audio file. The recording is only made when you press the record button, and you can listen back, re-record or delete it before you send the form. Nothing is sent to us until you submit the form.

We use your voice note to understand your background and what you are looking for, and to help complete your details so you do not need to fill in a long form.

Transcription, including AI-assisted transcription

We transcribe voice notes into text, and we may summarise them and CVs into a candidate or enquiry profile. We may do this using AI-assisted transcription and drafting carried out by our assistant, an AI tool that works under our instruction. A member of our team reviews the result, and we will check the key details with you before relying on them or sharing anything with a firm. We do not use your information to make automated decisions about you that have legal or similarly significant effects.

CV uploads

If you upload a CV, we use it to understand your experience and to identify roles that may suit you. We will not send your CV, or any profile based on it, to any firm without your agreement.

How we use your information

  • To respond to your enquiry and arrange a conversation.
  • To provide recruitment services, including identifying suitable roles or candidates and arranging introductions and interviews.
  • To provide confidential introductions and people support for firms considering a sale, succession or acquisition.
  • To keep records of our conversations and introductions.
  • To keep this website and our systems secure, and to meet our legal and regulatory obligations.

Our lawful bases

Under the UK General Data Protection Regulation (UK GDPR) we rely on:

  • Consent, which you give using the tick box on our form, for processing and transcribing voice notes and CVs that you send us. You can withdraw your consent at any time by emailing us.
  • Legitimate interests, in running a recruitment business and responding to enquiries, where this does not override your rights.
  • Taking steps at your request before entering into a contract, for example when you ask us to help you find a role or a candidate.
  • Legal obligation, where we must keep or share information by law.

Sharing your information

We will always confirm with you that it is okay before your details are shared with any firm. If you are a candidate, we only share your CV or profile with a prospective employer once you have agreed. If you are a firm owner, we only share information about your firm with an acquirer or consolidator once you have agreed what may be shared.

We also use trusted service providers who process information on our behalf, under contract and only on our instructions, including:

  • Supabase, our database and file-storage provider, which receives and stores the details you send through our website form, together with any voice note or CV you upload. This data is stored in Supabase’s London, UK data centre region;
  • Cloudflare, which hosts this website and delivers its pages to you, and may log technical information such as your IP address to keep the website secure;
  • our email and file-storage providers;
  • the provider of the AI-assisted transcription tools used by our assistant.

Some of these providers may process information outside the UK. Where they do, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the International Data Transfer Agreement or Addendum approved by the Information Commissioner’s Office (ICO).

We do not sell your personal information.

You have the right to ask us for a copy of your information, to correct it, to delete it, to restrict or object to how we use it, to have it transferred to you or another organisation, and to withdraw consent at any time.
